As an Office Manager, your responsibility is to oversee the administrative activities that facilitate the smooth running of an office, organising people, information and other resources of the college.
Entry requirements of this job:
You can become an office manager with any degree subject or HND, but the following subjects may be particularly helpful:
- business administration/business management
- computing and information technology
- human resource management
- management
- public administration.
Entry without a degree, HND or foundation degree is possible if you have relevant office experience and skills.
Tasks required by this job include:
- use a range of software, including email, spreadsheets and databases, to ensure the efficient running of the office;
- manage online and paper filing systems;
- develop and implement new administrative systems, such as record management;
- record office expenditure and manage the budget helping establish and maintain office procedures;
- assisting senior management team when needed;
- dealing with staff recruitment;
- attending seminars and training.
- Manage and oversee daily office operations
- Ensure efficient and effective office procedures
- Maintain office supplies inventory and place orders as needed
- Coordinate and schedule meetings, appointments, and travel arrangements
- Prepare and distribute correspondence, memos, reports, and presentations
- Manage office budget and expenses
- Handle sensitive information in a confidential manner
- Implement and maintain filing systems, both electronic and physical
- Perform general clerical duties, such as data entry, photocopying, scanning, and filing
Requirements
- Proven experience as an Office Manager or similar role
- Proficient in using QuickBooks for financial management tasks
- Strong knowledge of office procedures and administrative practices
- Excellent phone etiquette and communication skills
- Familiarity with human resources functions, including hiring and onboarding processes
- Ability to supervise and manage a team effectively
- Highly organized with strong attention to detail
- Strong problem-solving skills and ability to prioritize tasks
- Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint)
- Ability to adapt to changing priorities in a fast-paced environment
